About MeetingTrip
What this service does, how it calculates its estimates, and who operates it.
What MeetingTrip is
MeetingTrip is the business meeting and travel planning service at meetingtravelplanner.com. It answers a single practical question: if your meeting starts at a particular time in another city, when do you need to leave? You enter your route and your meeting time, and the tool works backwards to a recommended departure.
Built for meetings that require travel
Most travel tools start from a flight and ask when you would like to fly. MeetingTrip starts from the meeting and works backwards through the whole chain — time at the airport, flight time, the time-zone shift, ground transport, and time to settle in before the meeting begins. Alongside the main travel calculator, the site provides an international meeting planner, a time zone converter, a side-by-side time zone comparison, and time-difference pages for individual cities.
How the calculations work
Distances are great-circle distances calculated with the Haversine formula from a built-in airport dataset, with no external lookup. Estimated flight time combines an approximate cruise-time calculation with additional allowances for taxi, takeoff, climb, descent and landing. Shorter routes receive proportionally more of that non-cruise overhead.
Time-zone differences are derived from standard IANA time-zone data. Buffers come from three profiles — Tight, Recommended and Relaxed — each of which sets how long you spend at the departure airport (a larger allowance on cross-border routes), how long ground transport takes at the destination, and how much time you want before the meeting starts. If the resulting airport arrival time would fall very early in the morning, MeetingTrip suggests travelling the evening before instead.
What MeetingTrip does — and doesn't do
Every figure MeetingTrip produces is an estimate for planning purposes only. The service does not display live airline schedules, ticket availability, delay information or guaranteed travel times, and it is not a travel agency, airline or booking service. Real-world conditions such as routing, weather, winds, aircraft type and air traffic control can cause actual travel times to differ, sometimes significantly. Always verify your final itinerary directly with the airline, airport or booking provider.
How MeetingTrip is funded
MeetingTrip is free to use. The service is funded through advertising and may also earn commissions from some affiliate links. Some flight-search links on this website are affiliate links. MeetingTrip may receive a commission from qualifying activity at no additional cost to you. Further detail is in the Privacy Policy.
